Overview

This strategic marketing plan was requested by leadership at a multi-location dental practice to outline my recommendations for new-patient acquisition, a common challenge for healthcare brands balancing central brand consistency with local market nuances. The plan maps the full customer journey, from first awareness through referral, and ties every phase to a clear goal and budget.

The Approach

I structured the campaign around three connected phases so that acquisition, conversion, and retention reinforce each other rather than operating as separate efforts.

Prospect Phase: Reaching the Right Audience

The target audience was women aged 25 to 54, middle-class to affluent, educated, and managing significant family responsibilities, who need a convenient, trustworthy dental option. The core message centered on flexible scheduling, comprehensive care in one location, and a friendly, trustworthy team, delivered through paid social ad campaigns built for lead generation, conversion, and audience growth, local media placements and press releases, Google Business Profile posts, community event participation, and open house events.

Lead Phase: Capturing and Nurturing Interest

A landing page offered a limited-time incentive in exchange for an email address, with the acquired social audience funneled toward that same page through ongoing messaging and community event giveaways. From there, an email journey kept new leads engaged and reminded them of the offer, supported by social posts and provider-led blog content built to establish authority and feed both organic posting and media pitching. Conversion was designed to happen wherever the prospect was most engaged: on the landing page itself, during the email journey, through social nurturing, or in person.

Patient Phase: Retention and Referral

Once someone became a patient, the focus shifted to experience and lifetime value: staff training built around real patient feedback, call tracking and scripting to ensure every call was handled well, and consistent signage and messaging across every office. To build lifetime value, the plan called for scheduling next visits before patients leave the office, adding patients to a treatment-plan email journey, sending reminders to prevent no-shows, and educating staff on flexible payment options. Referrals were built in from the start, using an automated referral system alongside incentives for both the existing and referred patient.
